Job Summary:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to the Chancellor. The successful candidate will provide comprehensive administrative support to Chancellor Nicole Gentles and ensure the efficient operation of the Chancellor’s office. This role is crucial in facilitating communication and coordination across all subsidiaries, supporting the Chancellor in her strategic initiatives, and enhancing the overall effectiveness of the organization’s leadership.

Key Responsibilities:

Administrative Support:

  • Manage the Chancellor’s calendar, schedule appointments, and coordinate meetings across all subsidiaries.
  • Prepare and organize meeting materials, agendas, and minutes.
  • Handle confidential information with discretion and maintain the highest level of professionalism.

Communication and Coordination:

  • Serve as the primary point of contact between the Chancellor and internal/external stakeholders.
  • Facilitate effective communication and collaboration across Emet Global Education Group’s subsidiaries.
  • Draft, edit, and proofread correspondence, reports, and presentations.

Project Management:

  • Assist the Chancellor in planning and executing strategic initiatives and special projects.
  • Coordinate cross-functional teams and track project progress to ensure timely completion.
  • Conduct research and compile data to support decision-making and strategy development.

Event Planning and Execution:

  • Organize and manage events, conferences, and board meetings for the Chancellor’s office.
  • Oversee logistics, including venue selection, catering, and technical support.
  • Ensure that events run smoothly and reflect the organization’s standards of excellence.

Travel Arrangements:

  • Arrange domestic and international travel for the Chancellor, including flights, accommodations, and itineraries.
  • Prepare travel documents and ensure compliance with organizational travel policies.

Subsidiary Support:

  • Provide administrative support to subsidiary leaders as directed by the Chancellor.
  • Monitor and report on the performance and initiatives of subsidiaries, ensuring alignment with the organization’s goals.
  • Facilitate the dissemination of information and best practices across subsidiaries.

Office Management:

  • Maintain office supplies and equipment, ensuring a well-organized and efficient work environment.
  • Implement and improve administrative processes to enhance productivity and efficiency.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field. Suppose a candidate does not hold a Bachelor’s, then a minimum of  3 years experience as an assistant and proven training and professional references.
  • Minimum of 3 years of experience in an executive assistant or similar role, preferably in an educational or corporate setting.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and handle multiple tasks simultaneously.
  • High level of professionalism, integrity, and discretion.
  • Experience in project management and event planning is a plus.
  • Knowledge of the educational sector and familiarity with Emet Global Education Group’s mission and subsidiaries is desirable.

Additionally, the employee should be expected to play a formative role in the spiritual lives of students according to the covenant and Statement of Faith and from time to time may be asked to host or participate in spiritual devotions and/or spiritual formation groups, prayer meetings and other Biblical-based activity relating to student achievement and success.

To maintain a remote position at EGEG, the employee is expected to create a noise-free, distraction-free working station suitable for this role.

The area must be free of inappropriate objects visible to the EGEG audience at any time.

The area must be kept professional and clutter-free appearance to accommodate video calls while providing a professional background for staff and students during the audio conversation.
